An ambulance service allocates laptops and tablets for various users. They have a number of Doctors who work with them on a regular, but part-time basis. They’re not fully employed and come out and work different shifts. All devices are controlled and allocated from the central headquarters but distributed out to the various ambulance stations.
Once devices had left central IT, there was nobody actually responsible for the devices and they were getting lost, going missing, possibly taken, but they had no proof. The loss of assets was high, so they needed a solution that would enable them to secure the asset in a secure location, and then allow selected individuals to open that at a given time.
Our TechBar kiosk-controlled system takes care of everything. Central IT allocates an empty locker in the required location and allocates the laptop or tablet asset to that locker. The delivery person is given a 4 digit one time code to open the assigned locker. The laptops and tablets are delivered to the assigned locker. When a Doctor is allocated a particular device, they are then sent a unique four-digit code, different to the first one. They turn up at that location, key in the four-digit code, locker door pops open, they take the asset out and they carry on. When they return it, they do the same thing.
The ambulance service now has full control and accountability. They now know that a particular device left IT central, was put into locker 111 on Tuesday at four o’clock and it was taken out again by Dr. Smith on Wednesday, used all day and put back in the early hours of Thursday morning. They didn’t lose any assets and there was full accountability to protect the asset, knowing that they were being audited.
